Privacy Policy

This privacy policy explains how Swissflow.ai handles personal data received through this website, email enquiries, discovery conversations and early automation discussions.

This is a practical privacy notice for website enquiries and early project discussions. Project-specific data processing terms, hosting choices, subprocessors and approval boundaries will be agreed separately before any production automation is connected.

1. Responsible contact

The responsible contact for this website is Swissflow.ai. Questions about privacy or data handling can be sent to contact@swissflow.ai.

2. Data we may collect

  • Contact details you choose to send us, such as name, company, email address, phone number and message contents.
  • Business and workflow information you share during discovery, such as tools in use, process pain points and automation goals.
  • Email correspondence and meeting notes needed to answer your enquiry or prepare a proposal.
  • Basic technical information and logs needed to operate, protect and troubleshoot the website and related communication.
  • Anonymous usage statistics: using Umami, analytics software we host ourselves, we count page views, referring sites, country, device type, booking-button clicks and video starts. No cookies are set, no IP addresses are stored and no profiles are built across websites; the data stays on our own server.

3. Why we use this data

  • To respond to enquiries and communicate with you.
  • To assess whether Swissflow.ai can help with a specific workflow or automation use case.
  • To prepare proposals, scope projects and organise discovery or pilot discussions.
  • To maintain security, prevent misuse and comply with legal or accounting duties where applicable.

4. AI and automation project data

Swissflow.ai does not connect to customer systems or process operational project data merely because you visit this website. Any use of business records, customer messages, calendar data, CRM data, documents or similar operational information is agreed separately for a defined project or pilot.

Where AI assistance is used in a project, the relevant data categories, human review steps, hosting setup, retention period and subprocessors are defined before the workflow goes live.

5. Sharing and subprocessors

We do not sell personal data. We may use service providers for ordinary business operations, such as email, hosting, scheduling, security or technical infrastructure. For customer-specific automations, relevant subprocessors and hosting locations are clarified as part of the project setup.

6. Retention

We keep enquiry and project-related information only as long as needed for communication, evaluation, delivery, support, security and legal or accounting obligations. If a discussion does not proceed, unnecessary working notes are not kept indefinitely.

7. Your rights

Depending on the applicable law, including the Swiss Federal Act on Data Protection, you may have rights to request information, correction, deletion or restriction of personal data concerning you. To make a request, contact contact@swissflow.ai and identify the relevant enquiry or project.

8. Updates

This policy may be updated as Swissflow.ai develops its services, website infrastructure or project setup. The current version is published on this page.
